When you contact Outer Beauty Landscapes as a potential contractor for your outdoor project you will notice starting with our first conversation that we are dedicated to making the entire project experience as easy and educational for our clients as possible. To better inform each client and increase your satisfaction in the overall experience with us, we have listed below the typical flow and timeline of our landscape construction projects beginning with our initial contact through to project completion.
Estimate Request - When you first contact us as your potential contractor, we will gather as much information from you as possible regarding your specific wants and expectations from your landscape project as well as answer any questions you may have about your project or ourselves. At this time we will ask for your contact information and schedule a free site visit at your convenience in order to provide you with the most accurate estimate possible. We typically do not give estimates out over the phone or without a scheduled site visit.
Preliminary Site Visit - We will arrive at your home on the scheduled date and begin the estimate process. During our visit we will gather all relevant site information and make notes on the project area and your property as well as take pictures to document the area. We will also sit down with you to further discuss your expectations in order to examine the pros and cons that may be associated with some of your initial ideas and to advise and educate you on your options. We will also inform you on our methods of construction in order to educate you on the current industry standards and to eliminate any questions you may have upon receiving your estimate. At this time we will also provide you with material catalogs and our portfolio of work with which you can examine the quality and diversity of landscape projects we create.
Receiving Your Estimate - Once we have collected all necessary information regarding your project during our site visit, we use this information to accurately put together your estimate. We strive to have all of our estimates back to our clients within 7 days of our site visit. When complete, we prefer to schedule another visit to present our estimate, explain our construction approach as well as give another opportunity to answer any further questions you may have. Our estimates provide all necessary details regarding types of materials used, installation methods as well as dimensions and depths. The first page of our estimates will inform you of the anticipated start date, project duration and payment information. If questions do arise we are always a phone call or email away and will gladly explain anything that may be unclear.
Booking With Us - Once you have accepted the estimate we ask that you contact us immediately in order to provide you the most flexibility in project start dates. At this time we will schedule a short meeting to review the estimate and agree upon your contract. Once our contract has been agreed upon and you have chosen us as your contractor we will then ask for the initial deposit which is used to secure your project start date as well as cover any additional material costs prior to the commencement of the project.
Planning Your Project - Once your deposit is received, we will schedule another meeting in order to discuss your landscape design options. This meeting will typically be scheduled one or two weeks after the deposit is received. During this time before the meeting we will ask you to choose your preferred materials from the catalogs we have provided. This allows us to discuss the pros and cons each may have given the scope and nature of the project. At this meeting you will be presented with our design ideas and asked to further narrow your choices to maintain a smooth flow of the project. Once we have the basics of design chosen and out of the way we will continue refining your design through constant communication and presentation of ideas in order to achieve your vision for your new outdoor space. Once this is accomplished we are ready to begin constructing your landscape dream!
Pre-Construction Meeting - When the project timeline allows, we will schedule a pre-construction meeting with you approximately 2 weeks before the anticipated start date. This final meeting will be used to discuss all relevant matters relating to your construction project. During it, we will discuss delivery and placement of materials, accessibility of equipment around your property, confirm material colours and patterns and discuss any preparations you may need to take before we arrive for the first day of the project.
First Day of Your Project - We will arrive in the morning on our scheduled start date and knock on your door to announce our arrival, discuss any pertinent matters and answer any questions you may have. At this time we will also ask you for your next payment which we will accept at days end. Next we begin our site preparation and project setup as the first step in realizing your landscape vision. Once properly setup, the real work begins!
During Your Project - While constructing your outdoor project, we make every effort to keep you informed through daily communication on project progress as well as any unforeseen instances that may arise during excavation or installation. We want you to be completely satisfied with every aspect of your project and as such, we openly welcome and encourage your constant feedback. If there is any aspect of the project which you are not satisfied with, we are more than happy to correct it immediately. Also, given the nature of landscape projects, it is often the case that slight changes to the initial design may need to be made in order to improve overall project aesthetics or due to unexpected circumstances (ie - buried stumps, irrigation pipes or unlocated buried service lines). Some of these unforeseen issues may require additional costs, however, we will inform you of your options and require your direct approval before any further work is undertaken. As the project draws to an end, we will inform you of our final day and schedule a time with which we are able to conduct a final walkthrough and inspection of your project.
Final Day of Your Project - Once we have completed your project we proceed with the scheduled walkthrough of the project site in order to ensure your satisfaction with our craftsmanship as well as our quality of clean-up and restoration of the existing landscape. We then accept your final payment only once you have been able to examine our work and have signed off on your satisfaction. We thank you for the opportunity to create your new outdoor space and are off to our next project.
